Use the following policy text exactly:
1. Scope and Types of Reservations
This Cancellation Policy applies to reservations made directly with Cositas de Panamá, operated by CDP Tours Travel and Logistics, S.E.P., unless different conditions have been expressly disclosed and accepted for a particular service.
Individual Tours & Experiences are single-day tours, excursions, activities, transfers, or other individual travel services booked separately.
Travel Packages / Multi-Day Packages are customized or prearranged travel arrangements that may combine accommodation, transportation, flights, tours, activities, meals, admission tickets, reservations, or other travel-related services.
Because Travel Packages require advance planning and may involve financial commitments with multiple suppliers, their payment and cancellation conditions differ from those applicable to Individual Tours & Experiences.
2. Individual Tours & Experiences
Free Cancellation
Individual Tours & Experiences may be canceled at least 72 hours before the scheduled starting time for a full refund of the amount paid to Cositas de Panamá for the canceled service.
Cancellations Within 72 Hours
Cancellations received less than 72 hours before the scheduled starting time are non-refundable.
No-Shows
Failure to appear at the agreed pickup location and time without prior cancellation will be considered a no-show and will not qualify for a refund.
Late Arrivals
Guests are responsible for being ready at the confirmed pickup time. When operationally possible, private experiences may allow reasonable flexibility. Significant delays may reduce the duration of the experience or, when the service can no longer reasonably be provided, may be treated as a no-show.
Third-Party Tickets and Special Services
Certain reservations may include tickets, permits, transportation, special access, or other services supplied by third parties. When a third-party service has specific cancellation or refund restrictions that were disclosed as part of the reservation, the applicable non-refundable amount may be deducted from any refund otherwise available under this policy, subject to applicable law.
3. Travel Packages / Multi-Day Packages
Travel Packages require advance planning and may involve commitments with hotels, airlines, transportation companies, guides, attractions, activity operators, restaurants, and other travel suppliers.
Once a package is confirmed, Cositas de Panamá and the suppliers involved may begin reserving capacity, issuing tickets, securing accommodations, scheduling personnel, and making financial and operational commitments specifically for the traveler.
The 72-hour free cancellation policy applicable to Individual Tours & Experiences does not apply to Travel Packages / Multi-Day Packages.
The applicable package conditions will be provided to the traveler before the first payment.
4. Travel Package Reservation and Confirmation
Unless different conditions are expressly stated in the applicable proposal or service agreement, a Travel Package requires an initial payment of 25% of the total package price.
A Travel Package is considered confirmed after the traveler has accepted the proposal and applicable conditions, the required payment has been received, availability of the applicable services has been verified, and Cositas de Panamá has issued written confirmation.
Prices, flights, accommodations, activities, room categories, transportation, tickets, and other services remain subject to availability and possible changes until confirmation. If a material change occurs before confirmation, Cositas de Panamá will communicate it to the traveler before proceeding.
5. Travel Package Payment Schedule
Unless different payment conditions are expressly stated in the applicable proposal or service agreement, Travel Packages follow this cumulative payment schedule:
- At confirmation: 25% cumulative amount due.
- 120 days before travel: 50% cumulative amount due.
- 90 days before travel: 80% cumulative amount due.
- 60 days before travel: 100% cumulative amount due.
The percentages are cumulative. Each payment completes the total amount due at that stage and is not an additional percentage added to the previous payment.
If a reservation is made after one or more payment deadlines have passed, the corresponding cumulative percentage will be required at confirmation. Reservations made 60 days or less before travel require full payment unless different conditions have been expressly agreed in writing.
6. Voluntary Cancellation by the Traveler
Payments made toward a Travel Package are non-refundable and non-transferable in the event of voluntary cancellation by the traveler, except where otherwise expressly authorized in writing by Cositas de Panamá or required by applicable law.
This condition reflects the advance planning and financial commitments associated with Travel Packages, including reservations and payments made or committed to hotels, airlines, transportation providers, attractions, activity operators, guides, restaurants, and other suppliers.
Whenever reasonably possible, Cositas de Panamá may assist the traveler in exploring alternatives such as changing travel dates, modifying or rescheduling certain services, applying an available supplier credit, or another reasonable alternative. Any alternative is not guaranteed and remains subject to supplier policies, availability, applicable rate differences, deadlines, and written confirmation.
7. Changes Requested by the Traveler
After a Travel Package proposal has been accepted, travelers may request up to three modifications without an administrative modification fee from Cositas de Panamá. Beginning with the fourth modification request, Cositas de Panamá may charge an administrative fee of USD 25 per modification.
This does not include airfare differences, hotel rate changes, supplier penalties, ticket reissuance charges, transportation changes, additional activities, or other third-party costs. Any known additional cost will be communicated before the requested modification is processed. All changes remain subject to availability and supplier conditions.
8. Failure to Complete Scheduled Payments
Travelers are responsible for completing payments according to the schedule established in their confirmed proposal or service agreement. If a required payment is not received by its deadline, Cositas de Panamá may contact the traveler regarding the outstanding balance.
If payment remains outstanding, Cositas de Panamá may cancel affected reservations or services when reasonably necessary to avoid additional supplier charges, penalties, or financial commitments. Amounts previously paid remain subject to the applicable non-refundable conditions, except where otherwise required by applicable law.
9. Cancellation by Cositas de Panamá
The non-refundable conditions applicable to a voluntary cancellation by the traveler do not eliminate the traveler's rights when Cositas de Panamá cancels or materially fails to provide a confirmed service for reasons attributable to Cositas de Panamá.
If Cositas de Panamá cancels a confirmed Travel Package, or a material component of it, for reasons attributable to Cositas de Panamá, we will first work with the traveler to identify an appropriate solution. Depending on the circumstances, this may include an equivalent or reasonably comparable replacement service, rescheduling, another reasonable alternative accepted by the traveler, or a refund of the amounts paid for the affected service when an acceptable alternative cannot be provided.
10. Force Majeure and Circumstances Beyond Reasonable Control
Travel may be affected by circumstances beyond the reasonable control of the traveler, Cositas de Panamá, or the suppliers involved, including severe weather, natural disasters, public emergencies, government restrictions, road closures, strikes, transportation disruptions, attraction closures, or other extraordinary events.
When such circumstances materially affect a confirmed service, Cositas de Panamá will work with the traveler and applicable suppliers to identify the best reasonably available solution. Depending on the circumstances and supplier conditions, options may include rescheduling, itinerary modification, replacement services, supplier or travel credit, or refund of amounts recoverable for affected services.
When the circumstances are not attributable to Cositas de Panamá, any refund may be limited to amounts actually refundable or recoverable from affected suppliers, subject to the conditions disclosed for the package and applicable law.
11. Third-Party Supplier Conditions
Travel Packages may include services provided by independent third parties. These suppliers may maintain their own reservation, operating, cancellation, modification, baggage, ticketing, check-in, refund, or participation conditions.
When supplier-specific conditions materially affect a reservation, Cositas de Panamá will communicate the applicable information when available and relevant to the booking. Nothing in this section excludes or limits any responsibility or consumer right that cannot legally be excluded or limited under applicable law.
12. How to Request a Cancellation
Travel Package cancellation requests must be submitted in writing to soporte@cositasdepanamatours.com. The request should include the lead traveler's name and sufficient information to identify the reservation. The effective cancellation date will be the date on which Cositas de Panamá receives the written cancellation request.
Individual Tour & Experience cancellations may also be submitted through the communication channel associated with the reservation, subject to the applicable booking conditions.
13. Applicable Law
This Cancellation Policy is subject to the applicable laws and regulations of the Republic of Panama. Nothing in this policy is intended to exclude, restrict, or waive consumer rights that cannot legally be excluded, restricted, or waived.
